Our team is looking to hire a Finance & Operations Associate who will support accounting, culture, and operations across the company.
Duties & Responsibilities
- Accounts Payable | Receive all incoming invoices, audit for accuracy and compliance, enter into QuickBooks, prepare weekly check packages ensuring timely payment to vendors. Reply to AP-related inquiries directly as needed.
- Vendors | Manage our vendor database, collect appropriate documentation (W9’s) and issue 1099’s annually.
- Credit Card Reconciliation | Manage the credit card reconciliation process, ensuring that the transactions are posted to the appropriate accounts during the correct period and are accounted for in the proper project/operations budget.
- Expense Reports | Receive all employee and production expense reports, review and audit for accuracy and compliance with company policies. Communicate directly with employees to resolve any discrepancies detected (leveling up as needed).
- Account Reconciliations | Prepare all monthly account reconciliations (deferred revenue, prepaid expenses, LLC Payable, S-Corp payable) review.
- Month-end Close | Assist with a timely close process (post monthly journal entries, reconcile bank accounts, review P&L and balance sheet for discrepancies).
- Budget Reporting & Tracking | Audit operating and production budgets for accuracy and completeness – ensuring all transactions are recorded properly, sharing regular updates with key stakeholders. Provide project financial summaries to key stakeholders at project completion.
- Business Tax | Manage the business tax payment schedule (local & state) along with any reporting required throughout the year.
- Accounts Receivable | Submit client invoices in client billing portals (Ariba) in accordance with the corresponding SOW/project milestones, manage timely collection of payments.
- Contractor Payroll | Fund Contractor payroll in Wrapbook, manage overall Wrapbook administration.
- Timesheet Management | Monitor weekly timesheet entries, following up with the team as needed
- Operations | Provide administrative support for Portal A’s general operations, collaborating with other departments and team members through cross-functional team, culture, and operational activities.
- Assist with company-sponsored programs to foster employee engagement, wellness, recognition
- Assist with developing and tracking the budget for the respective programs.
- Respond to requests and team inquiries to support overall company operations.
- Assist with operational duties, i.e. WeWork account management, workplace tools administration, subscriptions, etc.
Experience & Capabilities
To thrive in this role, you have:
- An Associate degree with an emphasis in Accounting or Finance; Bachelor’s degree is preferred.
- 1-3 years of accounts payable and business operations experience
- Working knowledge of key business processes (accounts payable, accounts receivable, fixed assets, general ledger management, financial close, etc.)
- An understanding of US GAAP and the practical application of required standards.
- Experience with Quickbooks
- Strong Excel and/or Google sheets skills.
- Strong written and verbal communication skills, organizational skills, proactive, not afraid to ask questions and find solutions
- Flexibility to take on additional tasks and responsibilities.
- Collaborative Team player with a positive attitude that embraces change and thrives in a fast-paced environment.
- The ability to work independently with minimal supervision, perform and manage multiple tasks simultaneously, exercise initiative and creativity to meet deadlines and goals

Annual Salary Range: $65k – $80k per year. This represents the presently-anticipated low and high end of the base salary range for this position. Actual base salary range may vary based on various factors, including but not limited to location and experience. Full-time employees are also eligible for a bonus and generous benefits.
